AI and expert support comparison

ChatGPT vs specialist bid writing support

ChatGPT can help you examine a question, organise supplied evidence and draft or revise an answer. Specialist bid support adds people whose job is to develop the response and coordinate the agreed work. Your choice depends on your team’s time and experience. Use a tool for tasks you can brief and check; seek additional support when evidence gathering, judgement or delivery capacity is the unresolved problem.

Before you choose

Who this helps

  • An internal writer using AI to test structure or improve clarity
  • A business comparing self-service drafting with delivered support
  • A bid lead setting an approved workflow for AI use

Points to check

  • Generated detail must be checked against a source.
  • Confirm the workspace and permissions before sharing confidential material.
  • Authorised people still approve what the business will deliver and submit.
01

Give the tool a bounded task

A useful starting task is to turn one question into a list of requested points, using the evaluation instructions you supply. Another is to identify which of your approved case studies might be relevant and explain why.

For drafting, supply the evidence and ask for gaps to be marked rather than filled. Review whether the output changes the meaning of your material. It is easier to check a specific answer with named sources than a whole tender generated from a short company description.

02

Use a simple claim-checking routine

For each factual statement, identify its source and the person who can approve it. Separate past performance from future commitments. A statement about a previous response time does not automatically authorise promising the same time under a new contract.

An illustrative check might find that a draft says “all sites” when the supplied case study covered three sites. Correcting that scope is more important than making the sentence sound polished. Keep any unavailable evidence visible in the working draft.

03

Check the procurement’s AI instructions

Read any disclosure and confidentiality requirements before using the tool. Cabinet Office PPN 017 includes optional questions about suppliers’ AI use; a buyer may ask how a tender was prepared or whether AI is part of the proposed service. Answer the question actually asked.

Check your organisation’s approved workspace and data-handling terms. Do not assume that all accounts, integrations or settings treat uploaded information in the same way.

04

Decide who will complete the surrounding work

Even with useful drafting assistance, somebody must agree the offer with delivery specialists, resolve conflicting facts, coordinate price and chase approvals. Tools may assist with those tasks, but your business must give someone responsibility for their completion.

A specialist can run interviews, develop an answer plan, draft and review within the agreed engagement. Ask how they will obtain your input and how much time you should reserve. External support also depends on timely client decisions.

05

Compare the finished result and effort

Try one completed question with approved source material. Count briefing, checking and correction time as well as drafting time. Assess whether the answer is accurate, specific and easy to evaluate.

Bidgen uses technology to support a human-led delivery process. If you need help with a live response, share the pack, current draft and unresolved questions. That lets us scope the work you need someone to own instead of simply adding another drafting step.

Common questions

01What is a sensible first use of ChatGPT?

Choose a small task you can verify, such as identifying requested points in a question or simplifying a paragraph without changing its meaning. Supply the relevant instructions and check the result yourself.

02Can we ask it to fill missing evidence?

Ask it to identify missing evidence and suggest questions for your team. Do not treat generated figures, experience, policies or customer examples as facts. Obtain and approve the real information before submission.

03Does specialist support mean avoiding AI?

No. Agree the approved tools and workflow. A specialist should remain responsible for the work in their scope and make clear where the client must verify facts or approve a commitment.
